Summary Minutes

Attending: Brandon, Kim, and Pam (recording).

1. Formalize how we're doing minutes:
• Rotate minutes. Pam will start
2. Decision-making (voting vs. consensus)
• Consensus unless decide otherwise

3. Ground rules
• Try not to interrupt, and don’t feel shy about reminding interrupters
• Respect the meeting time
o be on time,
o have homework done,
o focus on tasks
o Communicate if changes, glitches

4. Communication btw teams (Caleb is working on a Wiki)
• Brandon will send Wiki URL
• Instant messaging via AIM (Pam will learn to do this)
• Text messaging (Not yet!)
• Communic. With Caleb – Brandon will ask how he wants to work with us. We would like 48 hrs max turn-around when we need something from him.

5. Define goals & outcomes

• Increase usage statistics by April 1st
o Short term measurable success – Jan – Feb.
• Define customer base and measure how it changes
• Identify and define target audiences
o Revisit this often and regularly
• Create a written marketing plan—use Colorado marketing plan as model (article length)
• Support efforts of other teams and create good communication with other teams.
• OUTCOMES:
o Increase use statistics
o OR State Marketing Plan
o Identify success stories to use as marketing message
• Define marketing message and make more meaningful:
o Quality Answers for Oregonians
 Fast
 Convenient
 Reliable
o Real Help. Right Now; Logo; URL; 24/7 branding
o Phrase to identify Service: Ask Oregon Libraries 24/7
 Take advantage of other state’s Ask-a services – build on brand
o Delivery of message will vary with Audience


6. Brainstorm ideas for short- and medium-term plans
How to solicit ideas from others – who can help us?
• Promo person at Powell’s and Border’s (Kim)
o Explore possibility of L-net link at Powell’s
• Medical info, Hospitals – maybe health-info queue (possible contacts Rose Jackson at PSU, Dolores Judkins at OHSU – possible beta project, trial)
• Community Colleges
• E-gov
• Newsletters of all types
• School mailings?
• OSLIS, OSLIST OEMA messages
• Special libraries, including non-profits (Kim will contact Linda Abscher at PSU and Brandon will contact Samara Wilson, MCL): List Servs
• Distribution of Marketing Materials list – Kim will generate list and get it back to team
• Banner revision to .net, then make sure to use and ADD Ask Oregon Libraries to banner (Kim)
• Order second banner to be part of promotional kit to travel to various provider libraries (Kim)
• OLA Opportunities – Booth and demos, Poster session? Hospitality Suite for face-to-face, etc
• What other opportunities – e.g., conferences, etc., for in-person marketing this winter/spring?? (Pam will create calendar of possible events)
o Oregon Women in Higher ed --
• Best question promotion – and use questions in marketing
• Best transcript promotion
• Public service announcements – TV Radio spots, Movie spots – KBOO,
